Step 5 of 8 in the billing cycle
ERA and EOB payment posting for dental practices
We post insurance payments from electronic remittances (ERAs) and paper explanations of benefits (EOBs) into your system, reconcile them against what you expected to be paid, and flag anything that came back short or denied.
-
Remittance received: 12 claims in one payment.
-
10 claims matched and paid as expected.
-
Crown on tooth 3 paid below the expected amount.
-
Bitewings denied for frequency.
-
Underpayment sent for review. Denial moved to appeals.
-
Posted and reconciled with the deposit.
Why posting errors spread
Payment posting is detailed, repetitive work, and mistakes travel. A wrong adjustment changes what the patient is told they owe. A denial buried inside a payment never gets worked. An underpayment gets written off as if it were a normal adjustment.
Paper EOBs make it slower still, and secondary insurance adds another round of claims and posting on top of the first.
How we handle it
Experienced billers do the work and make the decisions. AI does the reading, checking and watching that keeps the work complete.
What our billers do
- Post insurance payments, adjustments and patient portions to the right claims.
- Review partial payments and denials and send them to follow-up.
- File secondary claims with the primary payer’s EOB once the primary has paid.
- Reconcile posted payments with your deposits.
Where AI helps
- Reads ERA files and paper EOBs and matches each payment to its claim.
- Compares what was paid with what you expected and flags differences.
- Catches denials and unexpected adjustments inside otherwise normal payments.
- Spots patterns, such as a payer that keeps paying less than expected for the same procedure.
What your office gets
- Accurate patient balances
- Patients are billed for what they actually owe after insurance.
- Denials do not hide in payments
- Every zero-pay line and partial payment goes to someone who works it.
- Underpayments get noticed
- Short payments are questioned, not quietly written off.
What we need from your office
- ERA enrollment with your payers, or help setting it up.
- Copies of paper EOBs and your deposit information.
Questions about payment posting
Can you work with paper EOBs?
Yes. Paper EOBs are read, matched to their claims and posted the same way as electronic remittances, with the same checks for short payments and denials.
How do you handle secondary insurance?
Once the primary payer has paid, we send the secondary claim with the primary EOB and post both payments, so the patient balance reflects both plans.
What counts as an underpayment?
A payment that is lower than what you should receive under the patient’s plan and your fee arrangement with that payer, without a valid reason on the remittance. We question those with the payer instead of adjusting them off.
