Step 4 of 8 in the billing cycle
Dental claim submission and follow-up
We create and send your claims electronically, with the right attachments, and we follow every one until it is paid or resolved. AI watches the status of every open claim, so nothing sits in a queue without someone noticing.
-
Claim sent with x-ray and narrative attached.
-
Accepted by the clearinghouse.
-
No payer response yet. Follow-up queued with four other claims for this payer.
-
Called the payer. Claim pended for a missing x-ray date.
-
Corrected attachment sent.
-
Paid and posted.
Why sent claims go unpaid
A claim that has been sent is not a claim that has been paid. Claims stall when a payer needs more information, an attachment does not go through, or a claim sits in process for weeks with no explanation.
In a busy office, nobody has time to check every open claim. The problems surface when the balance is already old, and sometimes after the payer’s filing deadline has passed.
How we handle it
Experienced billers do the work and make the decisions. AI does the reading, checking and watching that keeps the work complete.
What our billers do
- Create claims from your system and send them electronically through your clearinghouse.
- Attach the radiographs, narratives and charting the payer requires.
- Work clearinghouse rejections as soon as they come back.
- Follow up on unpaid claims by portal and by phone, and resubmit corrected claims.
Where AI helps
- Validates each claim against the payer’s requirements before it is sent.
- Watches claim status and flags claims that have gone quiet.
- Groups follow-up by payer, so one call can cover several claims.
- Tracks each payer’s timely filing deadline so claims are corrected in time.
What your office gets
- Every claim has an owner
- Each open claim has a person responsible for it and a next step.
- Rejections fixed quickly
- Clearinghouse rejections are corrected and resent instead of waiting in a report.
- Old claims do not pile up
- Stalled claims get attention while they are still easy to fix.
What we need from your office
- Access to your clearinghouse and the payer portals you use.
- Radiographs and charting stored where we can attach them.
Questions about claims and follow-up
Which clearinghouse do you use?
We work with the clearinghouse your practice already uses. If you do not have one, we will help you choose one and get it set up.
Do you handle paper claims?
Yes. Some payers still require paper or mailed attachments. We send those too and track them the same way as electronic claims.
What is timely filing, and why does it matter?
Every payer sets a deadline for submitting and correcting claims. Miss it and the payer can refuse the claim no matter how valid it is. We track each payer’s deadline so claims go out, and get fixed, inside the window.
